How to create and manage Tasks

The Tasks module allows you to organise your team's pending actions and keep track of them in one place.

You can use Tasks to follow up on Leads or to organise the day-to-day activities of your gym or sports centre.

What is a Task?

A Task is an action that needs to be completed. You can assign it to a member of your team and schedule it for a specific date.

For example:

  • Call someone who is interested in becoming a member.

  • Contact a user after a trial class.

  • Send information about available memberships.

  • Manage a membership renewal.

  • Organise equipment.

  • Clean the activity room.

🧩 Practical examples: You can create a Task to call Laura after a trial class, contact a member about a renewal, prepare an event at your centre or organise an internal task, such as reviewing an issue or preparing equipment.

Create a new Task

To create a Task:

  1. Go to the Tasks module.

  2. Click New Task in the top-right corner.

  3. Complete the following information:

    • Name of the Task.

    • Action to be carried out.

    • Status.

    • Description, if you need to add more information.

    • Person responsible.

    • Task date.

  4. Click Save.

The Task will be saved so your team can keep track of it.

Keep track of your Tasks

From Tasks, you can easily see which actions are pending, who is responsible for them and when they need to be completed.

You can update the status as the Task progresses:

  • To do: the Task has not yet been started.

  • In progress: someone is currently working on the Task.

  • Completed: the Task has been completed.

Use Tasks to follow up on your Leads

You can combine Leads and Tasks to organise follow-ups with people who are interested in your centre.

For example, you can create a Task to call a Lead after a visit, send them information or contact them again a few days later.
